Refund policy

Last updated: October 2, 2026

This Return and Refund Policy applies to equipment purchased from Deluxe Systems, a division of W.T. Hight Company, Inc. ("Deluxe Systems," "we," "us," or "our"), through deluxesystems.com. It is written for commercial and industrial buyers. Material handling equipment is heavy, freight-shipped, and frequently built or configured to order, so please read this before you order.

If you are not certain the item you are looking at is the right item, call us at 1-800-445-4082 before you buy. We would much rather spend ten minutes on the phone than have you pay freight twice. There is no charge for that call and no obligation attached to it.

1. What can be returned

Stock items may be returned within 30 days of delivery, provided that the item is:

  • unused, uninstalled, and in resalable condition;
  • in its original packaging, including all hardware, fasteners, keys, manuals, and accessories; and
  • authorized for return by us before it ships back (see section 3).

2. What cannot be returned

The following are final sale and cannot be returned or exchanged:

  • Custom, made-to-order, modified, or special-order equipment. This includes anything built to your dimensions, anything finished in a non-standard color, and anything ordered in from a manufacturer specifically for you.
  • Engineered systems such as mezzanines, in-plant offices, cleanrooms, and cage or partition systems that were quoted and configured for your site.
  • Items that have been installed, assembled, modified, cut, drilled, or anchored.
  • Clearance and closeout items, where identified as such at the time of sale.

If a product page or your quote identifies an item as non-returnable, that designation controls.

3. How to start a return

Email info@deluxesystems.com or call 1-800-445-4082 with your order number and the item you want to return. We will issue a Return Goods Authorization (RGA) number and tell you where to ship it.

Do not ship anything back without an RGA number. Returns that arrive without one may be refused or may not be credited, because we have no way to match them to your order.

4. Restocking fees

Returned stock items are subject to a restocking fee. Because most of the equipment we sell is returned to the original manufacturer, the fee is set by that manufacturer and varies by product line. We will tell you the exact restocking fee that applies to your item when we issue your RGA, before you ship anything back.

5. Return freight

Unless the return is the result of our error or a defective product, you are responsible for return freight, and the original outbound freight charge is not refunded.

Equipment that shipped by LTL freight must go back by LTL freight, on a pallet, properly packaged. Items that arrive back damaged because they were not packaged for transit may be credited at a reduced amount or not at all.

6. Damaged or short shipments

This section protects your money. Please read it.

When a freight shipment arrives, inspect it before the driver leaves. If a carton is crushed, a skid is broken, banding is cut, or a piece is missing:

  1. Note the damage or shortage in writing on the delivery receipt before you sign it. Be specific. "Subject to inspection" is not enough on its own.
  2. Photograph the damage, including the packaging and the pallet, before anything is moved or unwrapped further.
  3. Contact us within 48 hours of delivery at 1-800-445-4082 or info@deluxesystems.com.

Freight carriers routinely deny damage claims on shipments that were signed for clean. If the delivery receipt is signed without a damage notation, we may be unable to recover the loss, and we may be unable to credit you for it.

Concealed damage found after the driver has left must be reported within 48 hours of delivery, with photographs.

7. Defective product and warranty

Equipment sold through this site carries the warranty of its manufacturer. Warranty periods, coverage, and remedies vary by manufacturer and product line. If a product fails within its warranty period, contact us and we will open the claim with the manufacturer on your behalf.

Warranty claims are handled as repair, replacement, or credit at the manufacturer's election. A warranty claim is not the same as a return, and is not subject to the 30-day window in section 1.

8. Refunds

Once we receive and inspect the returned item, we will issue a refund to the original payment method, less any restocking fee and less the original outbound freight. Refunds are normally processed within 10 business days of inspection. Your bank or card issuer may take additional time to post the credit.

9. Quoted orders

Where equipment was sold under a written quote, the return, cancellation, and restocking terms stated on that quote control, and this policy applies only to the extent it does not conflict with them.
